Accommodation booking information

Special accommodation room rates have been negotiated for the event and are subject to availability for extended stays. To take advantage of these savings, please read the following information carefully and complete the accommodation booking section on the registration form.

Event Planners Australia is unable to accept new bookings or changes to existing room bookings after the following Release Date: 1600 hours Australian Eastern Standard Time, 20 February 2010. From this time, bookings should be made directly with the hotel or via an accommodation reservation website.

• Rates are per room per night, in New Zealand dollars, and include NZ GST
• Room numbers are limited so book well before the deadline
• Accommodation cannot be booked unless credit card details are received with your registration form. This information will be passed on to the hotel to secure your booking. The hotel may process the debit immediately or wait until check-out
• If charges are to be the responsibility of a third party, e.g. the guest’s organisation, please provide the organisers with a letter from the third party stating what charges are to be covered, e.g. accommodation only, meals, mini bar, phone, fax, internet, laundry, all charges, etc      
• A tax invoice/receipt will be issued by the hotel on check-out
• Cancellations and alterations up to the Release Date are made by Event Planners and will incur a booking change fee of up to AUD33
• Guests wishing to cancel or alter bookings after the Release Date should contact the hotel directly. These, including early departures and “no-shows”, may incur penalties at the hotel’s discretion, possibly up to 100% of the accommodation stay  
• If you have early check-in requests or are arriving after 1800 hours on your check-in day please contact your hotel directly to ensure no penalty rates are incurred

Please note that bookings will only be taken by credit card and paid in NZ dollars * Cancellations/amendments/reductions in stay received within 60 days of arrival will incur a fee equivalent to one nights accommodation.

* Cancellations/amendments/reductions in stay received within 14 days of arrival will incur a fee equivalent to 100% of the total accommodation costs.

* No-shows will be subject to a 100% cancellation fee.

Please contact the congress managers if you require a 2 or 3 bedroom apartment and a request for availability will be lodged.
